Cancellation and Rescheduling Policy

CANCELLATION POLICY – Terms and Conditions

We understand that unforeseen circumstances may arise, and we strive to be as accommodating as possible. However, when an appointment is scheduled, that time is reserved exclusively for you. Late cancellations or missed appointments prevent us from offering that slot to another patient in need of care.


To ensure fairness and availability for all patients, we kindly request at least 2 working days’ notice for any cancellations or rescheduling. This allows us to reallocate your appointment time to others who may be waiting.


While we recognise that emergencies happen, our policy is rooted in mutual respect—for your time, our time, and the needs of other patients. Thank you for your understanding and cooperation.

HOW TO CANCEL YOUR APPOINTMENT

To avoid a cancellation fee, please notify us by phone or email at least 48 business hours before your scheduled appointment. Business hours exclude weekends and public holidays.


Important note: Any cancellation received after 5pm on a business day will be considered as being made on the following business day.

CANCELLATION FEES

When is a Cancellation Fee Charged?

A cancellation fee applies if:

  • You provide less than 48 business hours' notice (excluding weekends and public holidays), or
  • You miss your appointment without any prior notice.

Example: For a 2:00pm Monday appointment, you must cancel by 2:00pm the previous Thursday.

Important: Cancellations received after 5:00pm on a business day will be processed the next business day.

This policy helps us offer timely care to all patients while respecting our clinicians' time.


Cancellation Fees

To help us manage appointments effectively, the following fees apply for late cancellations or missed appointments:

  • Less than 48 hours’ notice (business days only): $50 administration fee
  • Less than 24 hours’ notice (business days only) or no-show: Full consultation fee

Please note:

  • Cancellation fees cannot be claimed through Medicare.
  • Business hours exclude weekends and public holidays.

We appreciate your understanding in helping us maintain fair access to care for all patients.


Late Cancellations & Missed Appointments

If you cancel with less than 24 hours’ notice (excluding weekends and public holidays) or fail to attend your appointment without notification:

  1. We may be unable to schedule future appointments for you.
  2. Your GP will be notified, and we will provide recommendations for alternative care options.
  3. You should contact your GP promptly to ensure continuity of care.

This policy helps us prioritize access for patients who are ready to engage in treatment. We appreciate your understanding.
